You
will be able to register your plants via the computer. These
instructions will take you
through the necessary steps.
There are two forms (spreadsheets) to
fill out: the Plant
Registration Form, where you tell us about
the plants in your exhibit and identify their owners by a code
(Exhibitor ID) and the Exhibitor Identification
Form where you tell us
who those plant owners are by name.
When
you apply for exhibit space you will be assigned an Exhibit ID
number. We will advise you of this number in our reply.
(If the number somehow falls through the cracks, just leave it blank on the Plant Registration Form and Exhibitor Identification Form and we'll plug it in.)
OK, are you ready?Step 1: Plant
Registration Form:
Exhibit ID – The number assigned to your exhibit (see above)
Exhibitor ID – Identification of the individual exhibitor (a letter suffix, more on this below)
Entry Name – The Genus and
species, if a
species plant; or Genus and Hybrid Name, if a named hybrid
If you have a well-formed Entry Name
(Genus-species or Genus-Named Hybrid) you may ignore the Parent data
items unless you care to supply them as a courtesy. If, however,
the plant is an unnamed hybrid and is designated with a name of the
form Genus (Parent One x Parent Two), then just supply the Genus (or
Intergeneric name) as the Entry Name and fill in the Parent One and
Parent Two data items.
Parent One – If a species plant enter ‘species’; if a hybrid then enter pod parent
Parent Two – If a species leave blank; if a hybrid enter pollen parent
Class – The Class designation
for the entry
(see the IOS Entry Schedule that is contained in the
Show Booklet
[doc file])
Class 2 – Show rules permitting, a plant may sometimes be registered in a second class. This occurs when a plant also qualifies as a first bloom seedling or is submitted as a specimen plant.
Tag – You probably aren't ever
going to use this item, but .... Suppose one exhibitor is showing two
or more plants indistinguishable by name, i.e., same grex with the same
or no clonal name. For example, five Paph. niveums none of which
is a named clone and all belong to the same grower and are placed in
the same exhibit. In a case like this, you uniquely identify the
individual plants by filling in the Tag item with a sequence number ...
1, 2, 3, etc.
AOS – Whether or not the entry is to be AOS judged. The default is ‘Yes’. Change this to ‘No’ if you want it excluded from AOS judging.

Step 2: Exhibitor
Identification Form:
Each
exhibitor in your exhibit needs a unique Exhibitor ID. Use the
Exhibit ID
number followed by a letter(s) to form this ID.
Exhibit ID - The number assigned to your exhibit (see above)
Exhibitor ID – The Exhibit ID number followed by a letter
Let’s assume you have been assigned an exhibit number ‘3’. If you are entering the exhibit itself for judging, then assign ‘3A’ as the Exhibitor ID for your organization. You then continue with ‘3B’, ‘3C’, ….. for each individual exhibitor. Should you have more than 26 exhibitors, then use ‘3AA’, ‘3BB’ etc.

Step 3: Save these forms to your hard drive and then send/bring them to us:
You have two options for submitting your entries.
A) Attach the Plant Registration and Exhibitor Identification Forms to an email and send them to the Plant Registration Coordinator, or to the Show Chair if no Plant Registration Coordinator has been designated. The deadline for email submissions is 9:00 pm Thursday before the show.
B) Bring the completed data
entry
spreadsheets with you. When finished filling out the spreadsheets save
on a flash memory stick with USB connector. Bring this to setup [Friday
before 7:00 pm]
and
we will
upload the data. Memory
sticks MUST be externally marked
as to their owners.
Last minute changes, deletions, additions will be done during setup on Friday.
